HR Benefits and Payroll. You will have access by the Thursday after your start date. You will receive an email from Tiffany Connor (HRIS Director) in the Corporate office with the info below:

Username: last name + first initial (Example: John Doe = doej) Note: If you have a common last name (i.e. Johnson) you will receive an e-mail with your username.

Initial password: 8 digit birthday (mmddyyyy). You will be prompted to make a new password after login.

Please verify or update:

  • From the UKG Pro Homepage, select: “Menu” > “Myself”

  • Name, address, phone, SSN, ethnic ID, federal & state tax withholdings

  • Add your direct deposit, emergency contact information, cell phone number, and choose whether to share or make private

  • Add your education information, licensures and accreditations

  • Add years of experience (DO NOT include internships or co-ops, only relevant full-time employment post-graduation)

If you do not elect your benefits within 31 days of your hire date, the next opportunity to enroll will be during the annual Open Enrollment session in the fall.

  • From the UKG Pro Homepage, select: “Menu” > “Myself” > “Life Events” > “I am a New Employee”

  • At the next pop-up screen, click “Continue”

  • You are able to elect the following plans online via this system:

    • Medical, Health Savings Account (if you elect the Low HSA or High HSA medical plan), Dental, Vision, Flexible Spending Accounts, Group Term Life (indicate your beneficiary(ies)), Optional Life (if elected, include your beneficiary(ies)), Spouse Life, Child Life.


HOURLY & PART-TIME EMPLOYEES:

Although all Hourly (Interns/Co-ops) and Part-Time Employees are not eligible to receive PTO, Universal Sick Time is available.

UNIVERSAL PAID SICK TIME:

Hourly and Part-Time employees are eligible for Universal Paid Sick Time:

  • Eligible employees will accrue paid sick leave, beginning on the first day of employment, at the rate of one hour of paid sick leave per every 30 hours worked.

  • There is no cap on the amount of paid sick leave that may be accrued. Accrued, unused sick leave will carry over from one year to the next.

FICA TAXES & EXEMPTIONS: 

Social Security taxes and Medicare taxes are collectively called "FICA taxes." 

Those on F-1 and J-1 visas are exempt from FICA payments if they have been present in the U.S. for LESS than 5 years.

If an employee has been in the U.S. for MORE than 5 years, they must pay FICA.

If you are exempt from paying FICA taxes, please inform Kim or Christina so UKG Pro can be updated accordingly prior to receiving your first paycheck.

Tips while enrolling:

  • Make note of your employee number. You will need it for timesheets, copying, scanning, mailing, and other various tasks. To access: Myself > Personal > Employee Summary.

  • Be sure to read and complete the Tobacco and Spouse Surcharge Affidavits at the beginning of the enrollment wizard.

  • Add any Dependent(s)/Beneficiary(ies) information on the Verify Beneficiary and Dependent Information screen at the beginning of the enrollment wizard.  If you are enrolling your dependents in your benefits, have dependent Social Security Numbers and birthdates available as you complete the enrollment process.

  • If you do not wish to enroll in a plan, you must still select decline for that particular plan to complete the enrollment process.

  • Flexible Spending Account elections are based on per pay amounts. Please enter the amount you would like withheld from your biweekly paycheck.

  • After submitting, you will receive an electronic confirmation statement, please keep for your records.

  • After your benefits have been approved by the Benefits Administrator, your elections will be updated in your UltiPro account.

  • Please allow 7-10 days after your benefits have been approved for your online enrollment for vendors to receive your enrollment information. If electing medical coverage you can expect to receive an ID card within 3 weeks.
